Tell AI what the customer is asking, what verified information you want to share, and the tone you prefer. Ask for a draft, then check every detail and make it sound like your business before you send it.
Keep the final reply yours
Check hours, prices, and promises
AI does not know your current schedule or what you can offer unless you tell it. Use a made-up example while practicing, and remove a customer's name and personal details from any prompt.
“Reply to this customer.”
The reply may miss the question or include an answer you have not confirmed.
“Draft a brief, friendly reply to a customer asking whether appointments are needed. Use only these details: [add your confirmed appointment policy]. Do not promise a time or price. If information is missing, leave a note for me to fill in.”
Replace the bracketed note with information you have checked before using the draft.
Prepare one customer reply
Use a made-up question and details you have confirmed. Ask AI for a short, warm reply, then check the answer, tone, and any next step. Do not paste a real customer's private message into an AI tool unless your business has approved that use.
Review the draft as the business owner before deciding whether it is ready. When you are ready, mark this lesson complete.
