Once a small task has worked well, write down the steps so you can repeat it: gather approved information, ask AI for one clear result, check the draft, and decide what to use. Change the routine when your business needs change.
Keep a person in the loop
Use the same review each time
For a staff checklist, you might check that each step is accurate, clear, and safe to follow. Never rely on AI alone for safety, legal, financial, or other high-stakes decisions.
“Make my checklist again.”
AI may not know which version to follow or what must stay the same.
“Turn the opening steps I provide into a one-page staff checklist. Keep the steps in the same order, use plain language, and flag anything unclear instead of guessing. I will review the final checklist before staff use it.”
A saved prompt can make the task easier to repeat, but you still review each new draft.
Write a four-step routine
Pick one low-risk task you do regularly. Write down the information AI needs, the result you want, what you will check, and who makes the final decision. Try the routine once with made-up or approved details.
Keep the parts of the routine that help and change anything that does not fit your business. When you are ready, mark this lesson complete.
